Privacy Policy – TEF Website and Job Portal

This Privacy Policy explains how Tanzania Empowerment Forum Limited, trading as TEF Consult (“TEF”, “we”, “us” or “our”), collects, uses, shares, stores and protects personal data through tef.co.tz, TEF Portal, job applications and related recruitment services.

1. Who is responsible for your data?

TEF Consult is responsible for the personal data it controls in connection with its website and recruitment operations. Questions or requests may be sent to info@tef.co.tz, by telephone on +255 758 895 188, or by post/delivery to Floor No. 23, Millennium Tower II, Tanzania.

2. Scope and applicable privacy framework

This policy applies to website visitors, registered candidates, job applicants, job-alert subscribers and people whose information is handled through a recruitment assignment. TEF intends to process personal data in accordance with applicable Tanzanian law, including the Personal Data Protection Act, 2022 and the Personal Data Protection (Personal Data Collection and Processing) Regulations, 2023.

3. Personal data we may collect

  • Account and contact details: name, username, email address, telephone number, location, nationality and authentication information.
  • Career and education details: professional summary, qualifications, employment history, skills, languages, training, salary expectations, notice period and referee information.
  • Documents and images: profile photograph, CV or résumé, certificates, passport or identification documents and other supporting records voluntarily submitted for recruitment.
  • Application information: vacancies applied for, cover letters, answers to application questions, dates, status, recruiter notes, ratings and activity history.
  • Technical and usage data: IP address, browser/device details, security logs, cookies and information about use of the website or portal.
  • Communications: enquiries, feedback, email preferences, job-alert subscriptions and records of notices sent.

If you provide another person’s information, including a referee’s details, you should ensure that you are permitted to do so and that the person understands how the information may be used.

4. Why we use personal data

  • To create, secure and administer candidate accounts and profiles.
  • To receive, assess, manage and communicate about job applications.
  • To match candidates with suitable vacancies and support TEF or client recruitment processes.
  • To store reusable career documents and provide application tracking.
  • To send requested job alerts, account messages and recruitment notifications.
  • To prevent misuse, investigate security incidents, maintain reliable services and keep appropriate audit records.
  • To comply with legal, regulatory, contractual and reporting obligations.
  • To improve the accessibility, relevance and performance of the website and recruitment services.

Depending on the circumstances and applicable law, processing may be based on your consent, steps taken at your request before a possible contract, performance of an agreement, compliance with legal obligations, or TEF’s legitimate recruitment, administration and security interests. Where consent is required, it may be withdrawn, but withdrawal does not affect processing already lawfully carried out.

5. Recruitment tools and human review

TEF may use search, filtering, scoring or matching tools to help authorised recruiters organise applications. Such tools support the recruitment team; they do not replace the need for appropriate human review. TEF will not rely solely on automated processing to make a decision that has a significant legal or similar effect on a candidate unless this is separately disclosed and permitted by applicable law.

6. Who may receive personal data?

Access is limited according to role and need. Information may be shared with authorised TEF staff and recruitment managers; a prospective employer or client connected with a vacancy; referees where checks are authorised; technology, hosting, email, security and cloud-storage providers acting for TEF; professional advisers; and public authorities where disclosure is legally required. TEF does not sell candidate personal data.

7. Storage and international services

Website records may be held in WordPress databases, protected email systems and private cloud object storage, including Amazon S3-compatible services. Some providers may process or store information outside Tanzania. Where an international transfer occurs, TEF will seek to apply contractual, technical and organisational safeguards and follow any approval or other requirement imposed by applicable law.

8. Security

TEF uses measures designed to protect recruitment data, including role-based access, authentication controls, private document access, secure transmission, logging, backups and service-provider controls where appropriate. No internet service can guarantee absolute security. Candidates should use a strong, unique password and promptly report suspected unauthorised access.

9. Retention

Personal data is kept only for as long as reasonably necessary for the purpose for which it was collected, including managing an active account, completing a recruitment process, considering a candidate for appropriate future opportunities where permitted, resolving disputes, maintaining security records and meeting legal or contractual obligations. Retention periods may differ by record type. Information will then be deleted, anonymised or securely archived where continued retention is required.

10. Your choices and rights

Subject to applicable law and relevant exceptions, you may ask TEF to provide access to personal data about you, correct inaccurate or incomplete information, delete or restrict information, object to certain processing, or provide information about how your data is used. You may also withdraw consent where processing relies on consent and unsubscribe from non-essential alerts.

To make a request, email info@tef.co.tz from the address connected with your account and describe the request. TEF may need to verify your identity before acting. You may also raise a concern with Tanzania’s Personal Data Protection Commission.

11. Cookies and third-party links

The website may use essential cookies for login, security and session functions and may use analytics or preference technologies where configured. Browser settings can control cookies, but blocking essential cookies may prevent the portal from working. External websites linked from TEF are governed by their own policies.

12. Children and young applicants

Recruitment services are intended for people legally able to seek the advertised work. Where an applicant is below the age at which independent consent is recognised, TEF may require consent or involvement from a parent or guardian and will apply any additional protection required by law.

13. Changes to this policy

TEF may update this policy when services, legal requirements or processing practices change. The current version and update date will be published on this page. Material changes may also be communicated through the portal or by email where appropriate.
